Terms of Service
Last updated: June 2026
1. Who we are
MyEstates is a software platform operated by Dataset Nexus Tech Limited (a company registered in Nigeria), providing estate operations services to Nigerian residential estates. In these Terms, “MyEstates”, “we”, “us”, and “our” refer to Dataset Nexus Tech Limited.
2. What MyEstates is — and what it isn’t
MyEstates is a software platform. It is not a bank, a payment processor, a custodian of funds, or a legal representative of any estate.
Estate funds flow through Paystack’s payment rails; settled funds go directly to the estate’s registered bank account. We never hold your money. We provide the software that orchestrates invoicing and reconciliation around those rails.
3. Eligibility
MyEstates is intended for use by recognised residential estate EXCOs (Executive Committees) in Nigeria. The applying chair or representative must have authority from their estate to apply for and operate the platform.
We may reject applications, or terminate access to approved estates, if we believe the platform is being used in ways inconsistent with these Terms — for example, fraudulent activity, misrepresentation, or attempts to harm other users.
4. Fees
MyEstates charges a platform fee on each collection processed through the platform’s payment integration. The fee structure is tiered, matched to the scale of the estate, and is published on our pricing page. The tiers are:
- Freemium tier: 0% platform fee. Applies to estates with fewer than 50 houses using the MyEstates SaaS platform. Estates on this tier pay no platform fee on collections.
- Standard tier: 2.5% of each collection, with a minimum of ₦500 and a maximum of ₦9,500 per transaction. Applies to estates with 50 or more houses using the MyEstates SaaS platform. Freemium estates that grow past 50 houses are auto-promoted to Standard at their next invoice.
- Premium tier: 7.5% of each collection, with a minimum of ₦500 and a maximum of ₦9,500 per transaction, applicable while integrated Smart-Gate enforcement hardware is being paid off. Premium estates contribute 30% of the Smart-Gate hardware cost upfront, before installation. The remaining 70% is recovered from the 7.5% platform fee on collections — every naira of platform-fee deduction is credited against the outstanding hardware balance. The intro period ends, and ownership of the Smart-Gate hardware transfers fully to the estate, when the cumulative platform-fee credits equal the outstanding hardware balance. At that point, the estate’s tier transitions automatically to Standard (2.5%) without further action. The exact duration of the intro period depends on the estate’s collection volume — faster collections shorten the timeline; slower collections lengthen it. Premium is not self-select — it requires a site assessment and agreement on fit with MyEstates.
The applicable platform fee is deducted from collected funds before settlement to the estate. Residents pay only their invoiced amount. The exact fee charged is itemised on each settlement record.
The 50-house threshold for Freemium, the rates, the 30% Premium upfront contribution, the platform-fee credit mechanism, and the hardware ownership transfer are MyEstates’ current published policy. We may revise the tier structure, rates, thresholds, or hardware terms with reasonable advance notice. Active estates will be notified of any material change via the email address registered for the chair and/or treasurer account. Hardware ownership transfers already completed are not reversed by any subsequent policy change.
5. Accounts and security
Every EXCO account is protected by time-based two-factor authentication. You agree to keep your account credentials secure, not to share them with anyone outside your estate’s authorised roles, and to notify us immediately of any suspected compromise.
You are responsible for actions taken via your account. We provide audit logs to help you and your EXCO review activity, but we do not monitor every action in real time.
6. Data and privacy
Our handling of personal data is governed by our Privacy Policy, which forms part of these Terms.
In summary: your estate’s data belongs to your estate. You can export it at any time. We maintain daily backups. We do not sell data, share it with advertisers, or use it for purposes outside operating the platform on your estate’s behalf.
7. Termination
Either party may terminate this agreement at any time. On termination:
- Your estate’s data remains accessible for export for a reasonable wind-down period
- We will not initiate new transactions on the estate’s behalf
- Fees already incurred on settled transactions remain payable
8. Limitation of liability
MyEstates provides the platform “as is”. We make reasonable efforts to maintain availability, security, and accuracy, but we do not guarantee uninterrupted service or that the platform will be error-free.
To the maximum extent permitted by Nigerian law, our liability to any estate for any claim arising from use of the platform is limited to the fees paid by that estate in the preceding twelve months.
We are not liable for losses arising from a resident’s failure to pay, a chair’s operational decisions, third-party service outages (including Paystack), or any cause outside our reasonable control.
9. Disputes and governing law
These Terms are governed by the laws of the Federal Republic of Nigeria. Any disputes arising from use of the platform will be resolved first by good-faith discussion between the affected estate and our team, and failing resolution, through appropriate Nigerian jurisdiction.
10. Changes to these Terms
We may revise these Terms from time to time. Material changes will be communicated to active EXCO accounts with reasonable advance notice. Continued use of the platform after such notice constitutes acceptance of the revised Terms.
